Return on investment begins with innovation. What are humans good at? Problem solving, communicating complex issues, critical analysis, and creativity. We hire people to do hard work efficiently. The better job they do, the greater the impact on the business. So why do personnel spend so much time doing mundane and repetitive tasks? Sure they can do them, but that’s not where employees are the most valuable.

Fleet management is always looking to optimize fleet operations without compromising the safety of the team or the equipment. Tasks like juggling vehicles in a parking lot or getting them refueled are important to any fleet, but are a waste of human talent. With that in mind, it raises the biggest question of them all: If it’s a waste to have humans do these mundane tasks, then who (or what) should do them?

Whether we like it or not, automation is becoming a core aspect of our world, fleet operations. Factories are installing more and more robots if they aren’t already mostly automated. Companies are on a sprint to automate as many different tasks as possible. Often little consideration is given the humans that are diminished by the new equipment. As this wave of automation sweeps over the world, we need to ask ourselves, what is our relationship to robots? Are they an attempt to replace us? Better yet, can we design autonomous equipment to be an extension of human talent? Ideally, automation should increase the return on investment in our human resources.

STEER Tech has found and leveraged the middle ground between the use of automation and the retention of valuable employees. Robots shouldn’t be designed to replace humans, but support them. Many relatively simple tasks like cleaning, parking, and transporting vehicles are necessary to the operation of fleets. At the same time, they are a waste of human talent. With the input of autonomous vehicles, fleet operators can focus on the critical work actually tied to the job.

Autonomous Parking

STEER Tech creates autonomous parking kits that are retrofitted onto existing fleet vehicles. The science is innovative, but the result is simple. When a vehicle using a STEER Kit arrives at a parking lot, the driver just gets out and goes right to work. The vehicle safely navigates to an available spot and parks itself. The kit doesn’t impact the vehicle’s usability at all, it is just a couple of low profile sensors and a small computer that can be installed in less than a day.

Autonomous parking is useful for consumers, but the use cases expand dramatically when applied to fleet operations. A single operator can remotely move self-driving vehicles around a parking lot, send them to garages, have the vehicles meet drivers at the door, and report back a variety of diagnostics information, such as fuel levels and vehicle health.

The STEER Kit is an extension of the employees, saving them the wasted time walking around parking lots, finding the right car with the right keys, reducing the risk of collisions and damage to the vehicles, and most importantly, turning every vehicle in a parking lot into the most vigilant and alert driver. With over 50,000 crashes in U.S. parking lots per year, having the safety net of an autonomous car will provide return on investment simply by avoiding accidental damage.

The Dollar Value of Efficiency

In the same way your GPS tracking system pays off big by helping you to reduce idle events and aggressive driving habits, savings are found when the cost of brief but frequent wasteful events add up over time. It only takes a couple of minutes to park a car, right? How much does that really cost?

First, assume approximately 260 workdays in a year. If one employee spends ten minutes retrieving the vehicle, and ten minutes parking the vehicle every day, you end up with 86 hours a year spent just parking and retrieving vehicles. Next, assume an 8-hour shift, that would add up to over 10 working days lost a year. That could easily cost the company over $1,500 per employee per year depending on salary and benefits. How many more job sites could someone visit in 10 days? How many more deliveries can be made? That is where we find substantial return on investment.

Finally take those 86 hours (or 10 working days) and multiply them by how many employees are parking and retrieving those fleet vehicles. 10 people = 860 hours. It’s easy to overlook how expensive the time spent parking cars is. Ultimately spending what could be productive hours on parking is just money thrown away. Parking a car does nothing to generate the company revenue. Certainly it doesn’t save money. On the other hand, autonomous vehicles, applied in the right way, recoup the loss without putting employment opportunities in jeopardy.

Using Feedback to Create Positive Change is Nothing New

From our perspective, that is what fleet tracking is for. Using feedback to create positive change in fleets and drivers is what we are all about. Feedback from devices changes driving habits. It has evolved from simple beeping when exceptions are triggered, to spoken coaching prompts using hardware, artificial intelligence, and integrated apps. In the same way, using feedback from employees is a great way to create positive change in your organization.

You can’t fix it if you don’t know what’s broken. Just as your GPS tracking system tells you where the fleet needs attention, constructive driver feedback points out what areas in your business need attention. In the old days, a suggestion box was enough. In today’s environment that is just not enough. With so many complex procedures and processes in place, employee feedback is critical.

Management that listens to what employees are saying continually improves how business gets done. As an example, we recently looked at our own order processing. We noticed a checklist that we created for every order duplicated information that was already in our new order notification emails. We did it just because that it how order processing had always been done. Certainly the notification email in place of the checklist to initiate order processing will streamline the process and save us all time.

Encouraging Constructive Feedback

Ultimately, drivers need to feel that their feedback is wanted and welcomed. Encouraging employee feedback based on specific goals is one way to get them to open up. Another good way to start is to ask for suggestions. Simple surveys or a form for employees to respond after a review can begin to create a culture where drivers feel their views and suggestions are valued. Similarly incentives for the best suggestions often encourage a dialogue.

Once the feedback begins, don’t take criticism personally. Without a doubt you need to know what things look like from the employee perspective to be an effective manager. For that reason you must be willing to receive criticism with an open mind. As an example, employees may say they are being faulted for speeding events they can’t avoid and feel management is too hard on them for it. They could be right. You can’t legitimately fault an employee for speeding or for not completing all of his stops on a route that cannot be reasonably completed at the posted speed limit.

It may be time for your organization to consider a routing and scheduling application to better plan and optimize your routes. High Tech Solutions from Ford

Ford Motor Company is at the top of that list with a system recently featured on Government Fleet. This new software uses existing systems for a new purpose, to neutralize the virus in police vehicles. It is available immediately on all 2013-19 Police Interceptor Utility vehicles. The system uses heat generated from the vehicle’s powertrain and climate control systems. It raises the temperature in the passenger compartment to over 133 degrees for 15 minutes, long enough to help disinfect the surfaces that are touched by officers and passengers.

Inspired by events following Hurricane Irma, USF has been working on a project to bring predictive analytics to health care staffing needs. The idea is to create a high-tech tool to help provide nursing homes with a way to predict and plan for staffing. Geotab Drive Version 2002 – See What’s New

Geotab Version 2002 First Look

As we have come to expect, when a new version of Geotab is released there all always a lot of questions. We just got our first look at Geotab Drive 2002 and want to share an advance look at what is coming soon. By turning on “Feature Preview” in your Geotab account settings, you will see some changes sooner.

To turn the preview on, click on your username in the Geotab UI, then click options. Scroll about halfway down the page to UI Settings and click the on button for Feature Preview. Don’t forget to scroll back to the top of the page and save your new setting.

What’s New in Geotab Drive?

Geotab Drive Version 2002 addresses simplifying the workflow and navigation. There are also a few new notewothy features, so let’s jump right in.

New DVIR category and ability to attach images to defects and repairs.

 

A new DVIR type called “In-trip” has been added for drivers who may find a defect in the middle of a trip, and would like to inspect the vehicle without affecting the Pre-trip and Post-trip DVIR flows.

Also new in Geotab Drive Version 2002 is the ability to upload images to DVIR inspection defects and DVIR repairs. This will save both the driver and the mechanic time, especially when a problem may be difficult to describe. Images contribute to a complete and fully documented defect report and repair report.

To add images to a DVIR, tap the Camera icon under the selected defect. The DVIR displays the uploaded images for both inspection and repair events. The uploaded images are then available in MyGeotab. In MyGeotab, an Image icon indicates whether the DVIR includes images for inspection and/or repair events.

Shipments

The limit for the number of shipments that can be listed has been increased to 25.

Moving Unidentified Logs

Previously, Admins were able to move individual automatic drive logs from the Unidentified Logs section to the appropriate driver, which resulted in duplicate ON logs if the paired automatic ON log was not moved as well. This issue has been corrected by preventing Admins from moving logs without using the Bulk edit feature, which moves both the Drive log and the paired ON log together.

Removing Vehicles or Drivers with Current Regulatory Data

In Geotab Drive Version 2002, any device or user with recent regulatory data (e.g. HOS and DVIR logs) can no longer be removed until the data is purged. Users will now see the following error messages when deleting a user or vehicle with regulatory data.

Changes to Handling Ignored Logs

The ignore logs feature has created some confusion among both drivers and administrators. FMCSA has ruled that automatic driving logs and the associated on duty logs can no longer be transferred to another driver as there was apparent abuse of this feature. If incorrectly assigned, the logs must remain, but can be ignored.

The following updates have been made to the Ignore Log feature:

  • Users now have the option to ignore HOS logs in bulk.
  • Ignored logs that continue to the next day as placeholder logs are now greyed out to match the UI on MyGeotab.
  • Ignored logs are now available by default under the DutyStatusIgnoredLog column on both the Standard and Advanced HOS reports.

Workflow updates

To improve the login and logout workflows, while reducing the amount of time it takes to reach the HOS Dashboard, an Assets screen has been added to display the vehicle, trailers and shipment selections in a single view. The DVIR screen also displays the vehicle and trailer in one view. The same applies for both the login and logout workflows.

In the past, drivers have interrupted their break time to log in to the Drive App to view duty status information placing themselves in violation of the rule. In Geotab Drive Version 2002, break and driving limit information is now displayed when logging in (with Feature Preview enabled) on the new Availability screen.

The Availability screen displays whether drivers are in violation, at risk for potential violation, or have upcoming violations. The images below show examples of messages that may display when logging in.

Drivers now have the option to apply the Exempt HOS Allowed by tapping the Exempt HOS button, if enabled by an Admin.

Clock-in/Clock-out now in Feature Preview

The Clock in/Clock out feature allows drivers to navigate through the login/logout workflow while still remaining in the Drive App. When a driver taps OFF or SB, they can either take a break, or clock out. If they tap Yes to clock out, the driver proceeds through the normal logout workflow.

The Clock in/Clock out workflow is available offline and does not require an active wireless connection. However, to fully log out of the Drive App, a wireless connection is required on the driver’s mobile device.

While clocked in, the driver stays in the App, where they can choose to remain assigned or unassigned from their vehicle.

While clocked out, the driver can view duty status logs, messages, and DVIR logs that are attached to the vehicle.

To clock back in, the driver can use the prompt at the top of the Dashboard, or tap D or ON to continue the login workflow.

New Exempt HOS Allowed’ exemption available

A new Exempt HOS Allowed exemption has been added for drivers who are exempt from Hours of Service (HOS) and/or ELD rules under specific circumstances. A good example of this is the Agriculture exemption. When logging out, the driver must now change their exempt status to ON or OFF. Previously, the FMCSA required HOS or ELD-exempt drivers to use Personal Conveyance (PC).

Admins have the option to customize the name of the exemption in MyGeotab via Administration > System > System Settings, as well as the ability to toggle the exemption settings for each driver under the HOS Settings tab on the User Edit page.

  • Improved Personal Conveyance (PC) distance on reports
  • Improved Verify Log logic for placeholder logs
  • Improved IOX-USB fIOX-USB now calculates the PC based on the following information: The selected ruleset, the PC limit defined in the User Settings, and the PC limit defined in the System Settings.
    If the driver exceeds the PC limit, the system automatically places the driver in the Drive status.

What’s New in MyGeotab?

Users – You can now designate your support, training and procurement contacts for your organization in the UI

This is an optional setting that may be very helpful, especially in large organizations. Assign key experts from your organization who can answer questions and solve problems in MyGeotab! As professionals in areas of training, procurement and technical support, these individuals can share knowledge and identify tools to help meet your needs in the Fleet Management Application. They can also receive important updates about new features, and other areas we are working on to support your business. Individuals designated as support contacts must provide a phone number, since we may redirect calls if we cannot assist a user from your organization who needs help.

New Phone number field and System Communications tab on the User Edit page

There is a new System Communications tab which combines email reports, in-app notifications and service updates, into one convenient view. Use in-app notifications (formerly called: news notifications) to stay up-to-date with service updates and other news, all without leaving MyGeotab. There is also now an phone number field for all users.

User Authentication Advances

Basic HTTP-based authentication using the HTTPS/SSL security methods.
SAML Single sign-on (SSO) authentication. [Active Directory (Azure or ADFS) is available from Fleetisitcs]
MyAdmin Uses your MyAdmin credentials for access to MyGeotab.

Start your week on any day

In MyGeotab version 2002 you can choose any day to start your work week. In previous versions this was limited to Saturday, Sunday and Monday.

Moving on to the Map

Using a clustered approach,there are new tools to show you where your vehicles are, which vehicles have stopped (indicated in orange), and which vehicles are driving (indicated in green).

Driver Assignments

Driver Assignment The live Map now displays new drivers as soon as they are assigned to a vehicle. Previously, new drivers were only updated when the next trip occurred. Also, the pop up window for assigning a driver is now much clearer to understand.

The driver will be assigned to the vehicle for all trips until:

  • The driver is assigned to another vehicle.
  • Another driver is assigned to this vehicle.
  • The driver is unassigned from this vehicle.
Other new features worth mention are a new pending changes message, updated system notices, a billing reminder message when removing a device, and the diagnostic code token is now available in all custom notification templates.

The EV Charging Report and EV Charging Activity indicators on the live map are out of Feature Preview.
